Welcome to Mountain.

This website is operated by RPA & Co Pty Ltd trading as Mountain Practice Management (“Mountain”, “we”, “us” or “our”).

These terms apply when you use our website and the information, resources, products and services available through it.

About Mountain

Mountain Practice Management provides business, operational and strategic expertise to healthcare businesses and organisations.

Our website introduces Mountain, shares our thinking and resources, and provides access to the different ways you can work with us.

Some products and services may have additional terms provided at the time of booking, purchase or engagement. Where additional terms apply, those terms will form part of your agreement with us.

Our information and expertise

We put a great deal of care into what we share, but every health business is different.

Information provided through our website, services, sessions, resources and other materials is based on our business experience, judgement and industry knowledge, together with the information available to us at the time.

Mountain does not provide legal, accounting, financial, regulatory, human resources, industrial relations, medical or clinical advice. Where your circumstances require advice in these areas, you are responsible for obtaining it from an appropriately qualified professional.

Healthcare, business practices, technology and regulatory requirements change over time. While we take reasonable care in our work, information may not remain current or be appropriate for every organisation or circumstance.

Your business, your decisions

We get to know our clients and their businesses well, but we are not privy to every circumstance, obligation or piece of information that may affect a decision.

You are responsible for the decisions you make and for how you apply or implement the information, recommendations, tools and resources we provide.

This includes considering whether they are appropriate for your business, circumstances and obligations.

Working with Mountain

We offer different ways to work with Mountain, from individual sessions and resources through to projects and ongoing engagements.

The scope, inclusions and price of a service will be provided when you book, purchase or engage us. Some services may have additional terms appropriate to the nature of the work.

An enquiry or initial conversation does not create an obligation for you to engage Mountain or for Mountain to accept an engagement.

Our intellectual property

We’re proud of what we build at Mountain, and we ask that you respect the work behind it.

Unless otherwise stated, the content, branding, written material, resources, tools, templates, methodologies and frameworks available through Mountain belong to us or are used by us with permission. This includes the Better Health Business™ Framework and other Mountain methodologies and resources.

You are welcome to use freely available content and resources for your own personal or internal business purposes.

You may not reproduce, adapt, publish, sell, redistribute, sublicense, commercially exploit or represent our content or intellectual property as your own without our written permission.

Where a resource or product has its own licence or terms of use, those terms will apply.

Resources and downloads

From time to time, we make practical tools, guides, templates and other resources available.

Unless otherwise stated, these are provided for your own personal or internal business use. They may not be resold, redistributed, republished or incorporated into products or services provided to others without our written permission.

Our resources are designed to be practical, but they may need to be adapted to suit your business. Your use and application of them remains subject to the terms above.

Bookings, purchases and payments

Where a service or product can be booked or purchased through our website, its price and inclusions will be displayed or otherwise provided before purchase.

Payments may be processed through a third party payment provider and may also be subject to that provider’s terms and privacy practices.

Any cancellation, rescheduling, refund or other conditions specific to a service will be provided with that offering.

Third party services and links

We may refer or link to other businesses, professionals, platforms, resources or websites that we think may be useful.

These third parties are responsible for their own services, information, terms and privacy practices. You are responsible for deciding whether a third party provider, product or service is appropriate for you.

Privacy and confidentiality

We care about how information is handled.

Our Privacy Policy explains how Mountain collects, holds, uses and manages personal information.

When contacting us through a general website form or email, please avoid sending patient information or other sensitive personal information unless it is necessary and an appropriate method of sharing that information has been agreed.

Additional confidentiality arrangements may apply to particular services or engagements.

Website use and availability

We may update, change or remove website content, products, services or functionality from time to time.

We cannot guarantee that the website will always be available or operate without interruption or error.

You must not use the website unlawfully, interfere with its operation or security, attempt to gain unauthorised access to our systems, or infringe Mountain’s or another person’s rights.

Responsibility and liability

We take reasonable care in providing our services and creating our information and resources.

Business outcomes depend on many things outside Mountain’s knowledge or control, including the information available to us, your decisions and implementation, changing circumstances and the actions of third parties.

To the extent permitted by law, Mountain is not responsible for loss arising from the use or application of our information or resources in circumstances where they are not appropriate to your particular business, or from decisions, actions or events outside our reasonable control.

At Mountain Practice Management, good business includes taking care of the information entrusted to us.

This Privacy Policy explains how RPA & Co Pty Ltd trading as Mountain Practice Management (“Mountain”, “we”, “us” or “our”) collects, uses, holds and shares personal information through our website and business activities.

We take privacy and confidentiality seriously and aim to handle personal information with care, discretion and in accordance with applicable Australian privacy laws.

The information we collect

The information we collect depends on how you interact with Mountain and what we reasonably need to provide our services and operate our business.

This may include:

  • your name and contact details

  • your role, profession, employer or business details

  • information you provide when contacting or enquiring with us

  • information relating to a booking, purchase or engagement

  • communications and correspondence with us

  • billing and transaction information

  • information provided when subscribing to our communications or accessing a resource

  • website usage and technical information

  • recruitment and professional information where relevant to a recruitment service

  • other information reasonably necessary for us to provide our services or operate Mountain.

We aim to collect only the information we reasonably need.

How we collect information

Most of the information we collect comes directly from you when you contact us, complete a form, book a service, purchase or access a resource, subscribe to communications, participate in a meeting or otherwise work with Mountain.

We may also receive information from our clients, professional contacts, service providers, referees, publicly available sources or other people involved in work we are undertaking.

The nature of our work means clients may sometimes provide us with information about their staff, contractors, clients or other people. We ask our clients to only share personal information with us where it is appropriate and necessary for the work being undertaken.

Sensitive and health information

Mountain works with healthcare organisations, which means we may occasionally encounter sensitive or health information while carrying out our work.

We do not generally need identifiable patient or client health information to provide our services and encourage clients to de-identify information where an individual’s identity is not necessary.

Where sensitive information is provided to us, we take additional care in how it is accessed, used and handled.

Please avoid sending patient information or other sensitive personal information through our general website forms or email unless it is necessary and an appropriate method of sharing that information has been agreed.

How we use information

We use personal information where reasonably necessary to operate Mountain and provide our services.

This may include using information to:

  • respond to enquiries and communicate with you

  • provide services, sessions, resources and other products

  • manage client and professional relationships

  • process bookings and payments

  • undertake recruitment activities where relevant

  • maintain our business and administrative records

  • improve our services and client experience

  • operate and improve our website

  • provide relevant communications, resources and updates

  • maintain the security and proper operation of our business

  • meet applicable legal and business obligations.

Recruitment information

Where Mountain provides recruitment services, we may collect information about candidates such as contact details, employment history, qualifications, professional registrations, CV information, references, interview information and other information relevant to the recruitment process.

We use this information to manage the recruitment process, communicate with candidates and clients, and assist our clients in making recruitment decisions.

Information provided for a recruitment process will be handled for purposes reasonably connected with that process, unless another use is permitted or required by law.

Sharing information

We may share personal information where reasonably necessary to operate our business or provide our services, or where permitted or required by law.

Depending on the circumstances, this may include sharing information with:

  • members of the Mountain team and contractors working with us

  • clients where the information relates to work we are undertaking for them

  • technology, cloud and AI enabled service providers

  • payment, accounting and administrative providers

  • professional advisers and specialist providers

  • other service providers needed to operate our business or deliver our services

  • government bodies, regulators, courts or other parties where required or permitted by law.

We only share information to the extent reasonably necessary for the relevant purpose.

How we protect information

We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure.

We use business systems and processes designed to keep information appropriately protected and limit access to people who reasonably need it for their work.

No online system or method of electronic storage can be guaranteed to be completely secure, but we take the protection of information entrusted to Mountain seriously.

Technology, cloud services and overseas storage

Like most modern businesses, Mountain uses third party technology and cloud based services to operate.

Some providers may store or process information outside Australia. The location may depend on the provider and its infrastructure and may change over time.

Where applicable, we take reasonable steps in selecting and using the systems through which personal information is handled.

Artificial intelligence

We use artificial intelligence at Mountain, and we believe in being open about it.

AI enabled technology is embedded within some of our internal IT systems and is used to support everyday business functions, such as administration, information management, research, workflow and other routine tasks.

But we believe in people.

AI supports human tasks. It does not replace the people, experience, judgement or relationships behind our work. Our services are delivered by people, and responsibility for the work we provide remains with us.

Where information is processed through AI enabled technology as part of our internal systems, we take the same approach to privacy and confidentiality that we do with other business technology. We use appropriate business, privacy and security settings where available and take additional care with sensitive or identifiable information.

Like other technology used in our business, AI enabled systems may involve third party providers and cloud infrastructure, including providers that process or store information outside Australia.

Our website and cookies

Our website may use cookies and similar technologies to help it function and to understand how people use it.

This may include information about your browser or device, pages visited, website interactions, referring websites and general technical or usage information.

Some of this information may be collected by third party website, analytics or technology providers.

You can control cookies through your browser settings, although disabling some cookies may affect how the website works.

Emails and marketing

We like to stay connected with the people and businesses in our network.

If you subscribe to Mountain, enquire with us, work with us, or have an existing business or professional relationship with us, we may add your contact details to our mailing list and send you occasional news, resources, insights or information about Mountain and our services.

We keep these communications relevant and reasonable, and you can unsubscribe at any time using the unsubscribe link included in our emails or by contacting hello@mountainpracticemanagement.com.au.

Unsubscribing from marketing won’t prevent us from contacting you where necessary about an enquiry, booking, service or existing business relationship.

Accessing or correcting your information

If you would like to access personal information we hold about you, or believe something needs to be corrected, please contact us at hello@mountainpracticemanagement.com.au.

We may need to confirm your identity before providing access or making a change.

There may be circumstances where we cannot provide access to particular information. Where applicable, we will handle these requests in accordance with our legal obligations.

Keeping information

We keep personal information for as long as reasonably necessary for the purpose for which it was collected and to meet our business, contractual, recordkeeping or legal requirements.

When information is no longer reasonably required, we may securely delete, destroy or de-identify it where appropriate.

Privacy concerns

If you have a question or concern about how Mountain has handled your personal information, we’d like the opportunity to address it.

Please contact us at hello@mountainpracticemanagement.com.au with enough information for us to understand your concern.

We will consider the matter and respond within a reasonable timeframe.

Where applicable, you may also have the right to raise a privacy complaint with the Office of the Australian Information Commissioner (OAIC).

Changes to this policy

We may update this Privacy Policy from time to time as Mountain, our services, technology or privacy obligations change.

The current version will be available on our website with the date it was last updated.
